How to Connect Website Enquiries to Your Business Software

Plan a website form integration with your CRM, quoting or invoicing tools. Define the source of truth, duplicate handling, failures and confirmation first.

Business Web Applications

If staff copy the same enquiry into several systems, an integration may remove repeated entry. Start by deciding what should happen to an enquiry, who owns the next step and how a failed transfer will be noticed.

A connected form is only useful if the team can trust the record it creates.

Decide where the enquiry belongs

Choose a source of truth: often a CRM or job-management system. A website enquiry may create a lead for review, rather than automatically creating a customer, job or invoice.

List the fields that are needed and avoid collecting extra personal information just because a destination system has space for it. Free-text messages may need human review before being used in another process.

Compare integration options

Approach Suitable starting point Check first
Product's own form or connector A supported integration already covers the workflow Field mapping, plan limits and where submissions are stored
An automation platform A short connection between supported products Usage costs, retries, access permissions and data handling
A custom integration Required rules or systems are not adequately supported API access, authentication, duplicate prevention and ongoing maintenance

An API is permissioned access to another system, not unlimited control of it. For example, MYOB developer documentation is the starting point for checking the relevant product and available access before quoting an invoicing integration.

Plan for duplicate and failed requests

An illustrative enquiry flow might be: capture the form, save a submission identifier, create a CRM lead, notify the responsible person and record the result. If the CRM is unavailable, keep the captured enquiry and flag the failed transfer for retry or manual handling.

Prevent repeated network requests from creating repeated leads. Define what counts as a duplicate and which fields identify a record. Do not place private API credentials in browser code.

Test capture and notification separately

Confirm that the form is registered, the submission appears in the capture system and the correct person receives the notification. A browser success message alone does not prove the final destination received the lead. Netlify's form documentation explains its static form registration and submission setup.

Analytics should record an action without copying names, email addresses or message contents into event parameters. Use enquiry records to confirm business outcomes rather than treating every button click as a lead.

Start with one handover

Connecting an enquiry to one well-defined destination can be more useful than automating the entire sales process at once. Agree ownership, recovery and support alongside the happy path.

See custom software versus existing products. Creative Theory offers custom integrations and web applications. Describe the repeated entry work, including the names of the systems, without sending credentials or private records.
